Connect Mailchimp to find audiences, update contact fields and tags, and prepare saved segments, email templates and campaign drafts. Review each change before it reaches Mailchimp.

Connect Mailchimp

  1. Sign in to Scribed. Complete account verification if you are signing up for the first time.
  2. Open Settings → Integrations. Find Mailchimp and choose Connect.
  3. Sign in to the Mailchimp account you want to connect. Review the authorization screen for Scribed and choose Allow if you agree.
  4. Return to Scribed and check the Mailchimp connection status and account shown before using it.

Scribed saves an encrypted authorization credential. Your Mailchimp account permissions continue to apply. You do not need to paste a Mailchimp API key into Scribed.

Choose workspace access

The connection belongs to your Scribed account. On the Mailchimp connection, open Workspace access and choose Allow access for the workspace you want to use. You can allow access where you are a workspace owner or admin.

People with permission and automations in that workspace can use the connection without viewing its credential. Choose Remove access to stop that workspace using it while keeping the connection in your account.

Find your audiences

Open the Scribed Agent in the workspace with access to your connection and ask it to list your Mailchimp audiences. The result includes audience names, identifiers and member counts. Use the identifier of the audience you intend to change when preparing a contact update or campaign draft.

Prepare a contact update

  1. Give the Agent the selected audience identifier, the contact’s email address, and the intended pending or subscribed status.
  2. Attest that you have actual marketing consent and state its source. An existing CRM record or email address is not proof of opt-in.
  3. Open the review link Scribed provides. Check the audience, email address, status and consent source before confirming the update.
  4. Check the operation result and the contact in Mailchimp. If the outcome is uncertain, check Mailchimp before preparing another update.

Update existing contact fields and tags

  1. Ask the Agent to list the merge fields for your selected audience. Use the exact field tags returned, such as FNAME. Only existing text and number fields are supported.
  2. To change fields, give the Agent the audience identifier, an existing contact’s email address and the field tags with their new text or number values. To change tags, specify each tag name and whether to add or remove it.
  3. Open the review link and check the exact contact, field values or tag additions and removals. Confirm each change you want to make, then check the result in Mailchimp.

These actions update existing contacts only. They preserve subscription status and marketing permissions; they do not create or subscribe a contact. Tag updates suppress Mailchimp’s tag-based automation triggers. Merge-field edits can still trigger automations configured in your Mailchimp account.

Each field or tag update is a separate reviewed action. Connecting your account does not start continuous synchronization.

Create a saved segment

  1. Ask the Agent to list the saved segments and merge fields for the audience you want to use.
  2. Give the Agent a segment name and one to five rules using existing text-field tags. Each rule can match an exact value, exclude an exact value, contain text or exclude text. Choose whether all rules or any rule must match.
  3. Review the audience, segment name, rules and all/any choice. Confirm to create the saved segment, then inspect it in Mailchimp.

The segment selects contacts according to its saved rules. This action does not create a static list of contact addresses or apply tags, and it does not subscribe or send messages to anyone.

Create a reusable email template

  1. Ask the Agent to list your Mailchimp templates to check what already exists.
  2. Provide a template name and its HTML content. Scribed prepares a reusable Classic email template for review.
  3. Open the review link, check the name and content, then confirm. Open the template in Mailchimp to inspect its design before using it in a campaign there.

Creating a template does not create or send a campaign. These are Classic templates; Scribed does not create templates for Mailchimp’s new email builder.

Create a campaign draft

  1. Ask the Agent to prepare a Mailchimp campaign draft. Provide the audience identifier, subject, sender name, reply-to email address and HTML content. You can also configure the Create Mailchimp campaign draft action in Runs.
  2. Open the review link. Check the selected audience and campaign details, then confirm if you want Scribed to create that draft in Mailchimp.
  3. Open the resulting campaign in Mailchimp to inspect its content and recipients. Complete Mailchimp’s checks before sending or scheduling it there.

The confirmation sends the draft details to Mailchimp; it does not send the campaign to your audience. Scribed does not send Mailchimp campaigns.

Disconnect Mailchimp

Open Settings → Integrations → Mailchimp → Disconnect and confirm. Scribed deletes its saved encrypted authorization credential and removes the connection. Audiences, contacts and campaign drafts already in Mailchimp remain there.

To revoke Scribed’s authorization in Mailchimp as well, use your Mailchimp account’s authorized-app controls. Disconnecting in Scribed does not perform that separate Mailchimp action. Connecting again requires a new authorization.

Troubleshooting

Authorization did not finish

Sign in to Scribed again if your session expired. Return to Settings → Integrations → Mailchimp and start a fresh connection. Check which Mailchimp account you authorize, then wait for the return to Scribed. Do not reuse an old authorization link.

Mailchimp is connected, but a workspace cannot use it

Check Workspace access on the Mailchimp connection. The connection owner can allow access in a workspace where they are an owner or admin. Your workspace role and seat still apply when you use the Agent or Runs. Ask your workspace administrator if access is unavailable.

An audience is missing or a change is refused

Check the Mailchimp account shown in Scribed and your permissions in that Mailchimp account. List the audiences again before selecting one. For a contact update, provide the actual consent source; a saved contact record does not establish marketing consent. Contact support with the visible error if the issue continues.

A connection changed after a draft was prepared

Check the connection in Settings → Integrations. If you reconnected Mailchimp or changed workspace access, prepare a fresh change and review it again. An earlier preview cannot authorize a change through a different connection.

A change failed or its outcome is uncertain

Check the operation status in Scribed and the selected audience or campaign in Mailchimp before trying again. A request whose result cannot be confirmed may already have reached Mailchimp. Contact support with the error, approximate time and your time zone if you cannot determine the outcome.

The campaign is a draft and has not been sent

Scribed creates campaign drafts. Open the campaign in Mailchimp, review its audience and content, and complete Mailchimp’s own checks before you choose to send or schedule it there.
