Getting started

Start with one
real piece of work.

You don’t need to design your whole business on day one. Bring a familiar process into Scribed, try it with your team, and build from what works.

A practical setup sequence

Make it useful.
Then make it yours.

Follow these steps in the order that fits your team. You can return to any part as your workspace grows.

  1. 01

Choose the work you want to bring together.

Start with one process your team knows well. Collections hold the records, saved views filter and organize them, and pages bring those views together with text and tools.

    • Preview a workspace template's collections, views, and pages. Apply it when the setup fits your work, or start with a blank page or your own collection.
    • Adjust fields and stages, save the views your team needs, and arrange those views on useful pages.

A good sign: You can point to where a new relationship starts and what its next step should be.

  2. 02

Bring in a small, useful set of records.

Try the setup with a few familiar contacts, organizations, or projects. Use relationship labels and filtered Contacts views for people such as clients or investors; link people to separate organization records.

    • Add records directly, or import a CSV and map its columns to the collection fields.
    • Review the import preview, check the results, and link related records. Reuse those records across views and pages.

A good sign: A teammate can open a record and understand who it belongs to and where the work stands.

  3. 03

    Connect the conversations and dates.

Connect the accounts you use for this work. Gmail and Outlook bring email into Scribed; supported Google and Outlook Calendar connections bring your schedule into view.

    • Authorize your own mailbox in Integrations and check a familiar thread in the connected inbox.
    • Connect your calendar and review the events beside your workspace dates. Add a booking link if clients need a way to choose a time.

A good sign: You know which account you are sending from and where your appointments will appear.

  4. 04

Bring in the people who own the next step.

Invite the teammates who will work in this process and choose an appropriate workspace role for each person. Agree on who maintains records and who reviews the handoff.

    • Use editor access for shared content work and viewer access for people who mainly need to follow along.
    • Publish the files the team needs from your personal Vault to workspace Drive, then organize a useful starting page.

A good sign: Each person can find the records and shared materials needed for their part of the work.

  5. 05

Review one useful result with AI.

Choose a specific task with a result you can check: summarize a record, prepare a meeting brief, or draft a proposal from a completed transcription. Tell the assistant which material to use and what you want back.

    • Begin with a draft or a summary. Check names, commitments, dates, and any details the source material does not establish.
    • When the process is familiar, build a Run for the repeatable steps and add approval where a person needs to decide.

A good sign: You have reviewed the result, know where it belongs, and can describe what should happen next.

Something to try

Take a conversation
toward a proposal.

This is a useful first workflow because you can check every part: the source conversation, the client details, and the document you choose to share.

  1. 01

    Gather the context.

Open a client record and a completed meeting transcript. Check that the conversation contains the scope and next steps you want the draft to use.

  2. 02

    Prepare the draft.

Choose a proposal template in Documents and select the relevant sources. Add the facts and requirements that belong in this proposal.

  3. 03

    Make it ready to share.

Edit the draft, resolve missing details, and review the saved version. Export it when the content is ready for your client.

Good questions.

Read our Privacy Policy
Do we have to move everything into Scribed at once?

No. Start with one process and a small set of records. Add more collections, pages, files, and connections as the setup becomes useful to your team.

Can we change a workspace template?

Yes. Templates configure your workspace once, reusing compatible collections and adding missing pieces. You can rename and customize the resulting fields, views, stages, and pages as your work changes.

Should I make a new collection for clients or investors?

Use a filtered Contacts view for a different relationship with the same people. Create a separate collection for a distinct thing, such as organizations, deals, or products. Older workspaces may still have separate people collections; applying a template does not merge them.

Does adding a page copy the records it shows?

No. A page's data blocks display saved views of existing collections. Updating a record through a page updates the same record wherever it appears. Calls, files, and calendars keep their dedicated tools and access rules.

Does connecting my inbox share it with the workspace?

No. Your connected Gmail or Outlook mailbox belongs to your account. Connecting it does not give every workspace member access to your mailbox.

Do we need an automation to get started?

No. You can work directly with records, email, bookings, documents, and other tools. Add Runs after you know which steps you want to repeat and where review is needed.
